MS Word Insert Tab

The Insert tab is the second tab in Word's ribbon, right after Home. While Home controls formatting, Insert is where you add new elements to your document — tables, images, links, headers, page numbers, and more.

This guide covers every group and tool, in order.


1. Pages Group

  • Cover Page – Inserts a pre-designed title page (built-in templates with placeholders for title, author, date).
  • Blank Page – Adds a new blank page at the cursor position.
  • Page Break – Forces content to start on a new page instead of flowing naturally (Ctrl+Enter).

2. Tables Group

  • Table – Click and drag across a grid to insert a table of that size, or choose Insert Table for custom rows/columns, Draw Table to freehand draw cells, Convert Text to Table, or Excel Spreadsheet to embed a live Excel object, or Quick Tables for pre-built templates (calendars, tabular lists).

3. Illustrations Group

  • Pictures – Insert an image from your device or from stock images/online sources.
  • Shapes – Add lines, arrows, rectangles, circles, callouts, and other basic shapes.
  • Icons – Insert built-in vector icons (people, objects, symbols) that scale without pixelating.
  • 3D Models – Insert rotatable 3D objects.
  • SmartArt – Insert diagrams like flowcharts, org charts, cycles, and hierarchies with editable text.
  • Chart – Insert a data chart (bar, line, pie, etc.) powered by an embedded Excel sheet.
  • Screenshot – Capture and insert a screenshot of another open window, or use Screen Clipping to select a specific area.

4. Add-ins Group

  • Get Add-ins – Opens the Office Store to browse and install third-party add-ins (dictionaries, citation tools, plugins).
  • My Add-ins – Quick access to add-ins you've already installed.

5. Media Group

  • Online Video – Embeds a video from a URL (like YouTube) that plays directly in the document.

6. Links Group

  • Link – Ctrl+K. Inserts a hyperlink to a website, file, email address, or a location within the same document (bookmark).
  • Bookmark – Marks a specific location in the document so you can link to it or jump to it later.
  • Cross-reference – Inserts a reference to another part of the document (like "see Figure 3" or "see page 12") that updates automatically if content moves.

7. Comments Group

  • Comment – Adds a comment bubble in the margin, useful for feedback and collaboration without editing the actual text.

8. Header & Footer Group

  • Header – Adds repeating content at the top of every page (titles, logos).
  • Footer – Adds repeating content at the bottom of every page.
  • Page Number – Inserts automatic page numbering in various positions and formats.

9. Text Group

  • Text Box – Inserts a movable, resizable box for text, independent of the main document flow.
  • Quick Parts – Insert reusable content blocks (AutoText, document properties, fields).
  • WordArt – Insert stylized, decorative text with effects.
  • Drop Cap – Makes the first letter of a paragraph large and decorative (common in print/magazine-style layouts).
  • Signature Line – Inserts a line for a digital or physical signature.
  • Date & Time – Inserts the current date/time, optionally auto-updating.
  • Object – Embeds a file from another program (like an Excel sheet or PDF) directly into the document.

10. Symbols Group

  • Equation – Inserts a math equation editor with templates for fractions, integrals, matrices, etc.
  • Symbol – Inserts special characters not on your keyboard (©, ™, α, →, etc.).
